About Governing Body Elections 2023

As per the resolution passed during the 3rd Annual General Meeting (AGM) of CLEAN, held in November 2020, staggered elections will be held to onboard new members to the CLEAN Governing Body. Therefore, in the upcoming elections, three (3) new CLEAN Board members shall be elected by the CLEAN Members.

The newly elected Board Members will be a part of the CLEAN Governing Body for a minimum single term of three (3) years from the 5th AGM of CLEAN in 2023. The elected members may seek re-election, subject to a maximum of two (2) consecutive terms

Eligibility to participate in the Election 2023

The following CLEAN Members are eligible to participate in the CLEAN Governing Body elections:

  1. Primary Members
  2. Associate Members

In order to be eligible to contest the election and / or validate the nominations as secondments and vote, CLEAN Members should clear their membership dues latest by September 30th , 2023, 6 pm (IST).

Eligible candidates can contest in the elections by completing and submitting the Governing Body Elections Nomination Form.

Nomination Review

The Election Committee (EC) will review each nomination form in detail to verify the eligibility as mentioned. The EC reserves the right to disqualify the nomination if:

  • The nominee does not meet any of the eligibility criteria laid out in this document.
  • The nominee is unable to share the requested information within the prescribed timelines.
  • Any one of the two secondments for the nomination, upon verification by the EC, is disapproved.
 

The EC will send a verification email to each of the organizations / individuals seconding the respective nominees. Upon successful verification, the EC would publish the profile for each of the approved nominees / candidates, in a prescribed format, on the CLEAN website’s Governing Body Elections 2023dedicated page.

When can the nominee reach out to eligible voters (CLEAN members)?

Upon successful verification by the Election Committee (16th October 2023 onwards), the candidate can start reaching out to eligible voters (CLEAN members). Eligible candidates should not use the official CLEAN Members Group on the WhatsApp platform to reach out to eligible voters.

Election Platform

The CLEAN Governing Body Election would take place from 18th October 2023, 10:00 AM (IST) – 20th October 2023, 06:00 PM (IST). CLEAN shall use a third party, transparent, online platform called ElectionBuddy (www.electionbuddy.com) to facilitate the governing body elections 2023. Digital ballots would be provided to all members well in time to vote electronically.

  •  Every eligible voter from the current CLEAN membership list would select a maximum of three (3) candidates; based on the vacancies, from the list of eligible candidates listed in the final ballot paper.
  • The voting right would be practiced through electronic means, from the registered email ID of the voter.
  •  The electronic voting will remain open for three (3) consecutive days from 18th October 2023, 10:00 AM (IST) – 20th October 2023, 06:00 PM (IST).
    •  Elections will be held only if there are more than 3 contestants post the date of withdrawal of nominations
    •  In case of any disputes during the entire process, the opinion of the Returning Officer will be taken as final
